Role Summary

This highly visible role applies seasoned, expert administrative skills and executive presence to provide collaborative and independent project and core support to the Co-Head of Investments. The incumbent also interacts with oversight and advisory committees including the IMSC (Investment Management Steering Committee), Board of Directors, Mutual Fund Board, and business unit level project leads.

This role will work innovatively and autonomously as well as in team settings; is highly proactive, adept at time management, and anticipates and negotiates priorities effectively and calmly to meet stringent deadlines. The incumbent acts as the “right hand” resource to managers for specialized projects; administration of calendars, meetings, events; and partners to help managers adapt to innovative tools, technology, processes, and policies. They assist in gathering, researching, and creating or editing materials for meetings and may represent the manager for ad hoc needs with relevant internal and external leads, stakeholders, suppliers, and administrative peers across the firm. Work is generally fast-paced, complex and will require flexibility in work schedule for onsite support.

Responsibilities

Gatekeeping, Calendar, Meeting Management:

  • Autonomously commands and applies business knowledge and understanding of client preferences, work priorities, and work style to provide leverage to manager(s).
  • Independently directs Outlook calendar/schedule maintenance; scheduling internal and external meetings and logistics.
  • Recognizes urgency of deadlines and information, automatically adjusts meetings and involves managers, as needed. 
  • Screens and prioritizes information and messages on behalf of manager(s); knows when issues require immediate attention; and delivers effective, collaborative problem solving.
  • Strong judgement and decision-making for effectively prioritizing and minimizing disruptions.
  • Coordinates communications and working relationships across a broad range of stakeholders at varying levels, both internal and external, to align priorities, support decision-making, and ensure smooth execution of meetings, projects, and key initiatives.
  • May help with planning and execution of departmental and large internal and off-site events.

Travel & Expenses Support:

  • Provides timely, accurate, compliant travel and expense report processing.
  • Executes travel transactions (flights, rental car/car service, early bird check-in) always offers Thoughtful Travel options; ensures current, required travel documents (Visas, passports) are at the ready.
  • Processes expense reports; raises errors and questionable charges appropriately; executes due diligence in resolving all issues.

Specialized Team Support:

  • Focuses heavy concentration of time to independently facilitate or assist with specialized / complex assignments, including confidential projects with broad impact in partnership with GM/Chief of Staff.
  • Confidential Work: Acts with utmost discretion as a right-hand coordinator and active participant in strategic projects that are extremely sensitive.  Effectively applies business-specific policies, processes, and procedures; capably navigates the Investments organization; and anticipates additional stakeholder and service partner needs.
  • Data, Reporting & Presentation Materials Management: Efficiently and autonomously creates, maintains, and coordinates internal and external communications, presentations, data and reports for projects and events that involve the BU, the firm and external parties (timely editing, drafting, proofing, and ensuring Legal review when required).
  • Innovative Project Support: Offers insight, innovative ideas, input and applies innovative technology to ensure progressively greater success and streamlined delivery of assignments.  Supports complete, cohesive communication for rollout and conducts lessons learned evaluations; applies learnings to future initiatives.
  • Networking & Consultancy: Well-networked to effectively respond to support requests and troubleshoot service issues. Acts as a consultant to readily manage assignments as well as assisting colleagues with training, best practices, technology and additional resources to support their success in executing projects/events for other teams; adept at dynamic problem solving; engages manager(s), as needed.

Technology, Process & Policy Transition Support:

  • Proactively learns and innovatively leverages new and enhanced technology to increase efficiency, and champions positive change through collaborative adaption/adoption of evolving processes and policies.
  • Proficiently develops and applies advanced technical skill to complete assignments (e.g., Microsoft suite, especially PowerPoint as well as other BU-specific systems).
  • Commands and applies BU-specific communications and directives to shepherd adoption of new corporate and divisional processes and policies.
  • Anticipates the impact of systems/policy changes and provides thoughtful, tactful support to managers for transitions (e.g., software/systems upgrades, device management, workflow/process reengineering, etc.).

Qualifications

Required:

  • Bachelor's degree or the equivalent combination of education and relevant experience AND
  • 2 years of total relevant work experience

Preferred:

  • Executive or senior level administrative experience in a business environment
  • Heavy Calendar Management experience
  • Experience with coordinating domestic and international travel, including: arranging all related travel transactions (flights, rental car/car service, hotel), all required travel documents (Visas, passports), and processing all related travel expenses
  • Strong customer service and leadership skills
  • Strong interpersonal and communication skills: verbal, listening, and written; ability to work effectively and communicate with a global/virtual team
  • Strong detail-orientation and organizational skills, with the ability to produce high-end quality work often under pressure with minimal notification and quick turnaround timeframes
  • Self-directed and able to perform assignments independently; demonstrates pro-active approach and is flexible with change
  • Ability to multitask, prioritize, and collaborate with others to accomplish tasks, and work to meet deadlines
  • Ability to handle highly confidential communications and information on a daily basis is critical in the role
  • Possesses a positive, tactful demeanor, and professional presence
  • Demonstrated ability to effectively manage upward to members of senior management while fostering successful relationships through direct interaction with peers and others
  • Ability to partner with management to build a collaborative working environment and exercise good judgment and professionalism
  • Ability to be flexible with on-site schedule to match leadership who works on-site daily
  • Intermediate to advanced skill level in Microsoft Office365 (Outlook, Word, Excel, PowerPoint, SharePoint OneNote)

Work Flexibility

This role is eligible for hybrid work, with up to one day per week from home. Ability to be flexible with on-site schedule to match leadership who works on-site daily.
